Cancellation filling

Jess’s 10:30 cancelled. Here’s how it got filled.

  1. A customer cancels

Maple’s owner calls at 7:40: Maple’s sick, so her 10:30 full groom with Jess is off.

    10:30–11:30 with Jess Open

  2. Patcher finds who fits

Customers booked later who fit the opening, closest fit first.

    • Hank · Westie · breed trim, 60 min

      Booked Friday 10:00 with Jess

      • Same length: 60 minutes
      • Jess is free at 10:30
    • Winnie · Cockapoo · tidy groom, 60 min

      Booked Thursday 1:00 with Jess

      • Same length: 60 minutes
      • Jess is free at 10:30
    • Lulu · Maltese · puppy cut, 45 min

Booked next Tuesday 9:00 with Jess

      • Shorter: 45 of the 60 minutes
      • Jess is free at 10:30
  3. You approve who gets asked

You see the list and choose who gets asked: Hank, then Winnie. Lulu stays put this time. Nobody is texted before you approve.

  4. Hank accepts

Hank’s owner gets one text, sees Friday next to today at 10:30 and taps Accept. Winnie is never texted.

  5. The schedule updates

Hank’s groom moves to 10:30 with Jess, and his Friday 10:00 opens up for another dog.

You stay in control

How it works

How does Patcher work for pet groomers?

How a small shop runs its book in Patcher, from the first call to the next rebooking.

  1. 01

    Bring your appointment book over

Add your groomers, services and hours, then your regulars and their upcoming appointments. Rather not type it in? Our free switching help works from your paper book.

  2. 02

Book a groom by phone or online

Pick the customer, service and groomer, and Patcher shows times that fit, with no double-booking. Owners can book online too: baths instantly, first full grooms as requests.

  3. 03

    Rebook before they leave

Set the next groom as a repeating appointment, every 4, 6 or 8 weeks, so regulars stay on the books. Reminder texts go out before each one.

Questions pet groomers ask about Patcher

How much does it cost for a groomer and a bather?

Patcher is $29 a month for 1–2 people taking appointments, so a groomer and a bather are on the smallest plan. Larger teams pay by how many people take appointments, and every plan includes every feature. It’s free to try for 14 days.

Is Patcher simple enough if I’ve only ever used a paper book?

Yes. It’s built for small businesses moving off paper: one day view with a column for each person, and a booking takes a customer, a service and a time. Setup walks you through your team and hours, and free switching help is there if you want a hand bringing your book over.

Where do I keep notes on each dog’s coat and temperament?

Keep the pet’s name, breed, coat and temperament in the customer notes, and write what you did and what to watch for on each appointment, like a short clip behind the ears or a muzzle for nails. The next time that pet is booked, the notes are right there.

Can I see a new dog before they book a full groom?

Yes. Set a service to come in as a request, and you schedule it yourself once you’ve heard about the dog. Quick services like baths and nail trims can still book instantly.

If a groom cancels, who gets offered the time?

Customers already booked later whose groom fits it: the same length or shorter, with a groomer who’s free then. You choose who gets asked and in what order. Everyone keeps their current appointment until someone accepts, and an owner who says no simply keeps theirs while the next person you approved is asked.
