A spring Tuesday at a three-tech HVAC company.
AC tune-up season has started: one tech works through a run of tune-ups, the owner takes diagnostics and estimates, and the install lead is on one replacement all day. Then Mike’s 10:30 tune-up cancels.

Mike’s 10:30 tune-up cancelled. Here’s how it got filled.
-
A customer cancels
Sue Brandt calls at 7:15: she has to be at work, so her 10:30 AC tune-up with Mike is off. An hour opens up, so it goes to maintenance visits, not installs.

You approve who gets asked
You see who’s on the list and choose who gets asked: Carol, then Ben. Ray’s install stays exactly where it is. Nothing is sent before you approve.
-
Carol Hughes accepts
Carol gets one text, sees next Wednesday 8:00 next to today at 10:30 and taps Accept. Ben is never texted.
-
The schedule updates
Carol’s tune-up moves to 10:30 with Mike, and next Wednesday 8:00 opens up for another tune-up.

How does Patcher work for HVAC companies?
From the first warm week to the next install, here’s how a small heating and cooling company runs its schedule in Patcher.
- 01
Book tune-up season in a batch
When spring AC or fall furnace season opens, go down your customer list and book tune-ups one after another. Suggested times leave room for the drive, so a tech’s day of tune-ups fits together.
- 02
Keep the equipment on the customer
Put the system’s age, tonnage and filter size in the customer notes, and what you found on each visit in the appointment notes. The next tech walks in knowing what to bring.
- 03
Estimate the replacement, book the install
Text an estimate with a standard and a high-efficiency option. When the homeowner approves one online, book the install as a full-day job for your install lead.
Does Patcher do what HVAC companies need?
Every plan includes every feature.
- Can homeowners book a tune-up or a service call online? Yes
- Customers pick a service and a time. Tune-ups book instantly; diagnostic calls come in as requests. How online booking works
- Does it send automatic appointment reminders? Yes
- Reminder texts go out before each appointment, plus confirmations for online bookings.
- Can I set up recurring appointments? Yes
- Book a repeating appointment once and your regulars stay on the schedule.
- Can I see installs and service calls side by side? Yes
- One calendar with a column for each person, their openings and blocked time like lunch.
- Will it stop me booking a tech who’s on an install? Yes
- Each time is checked against that tech’s day, all-day installs included. To overlap, Patcher asks first. How booking works
- Can a cancelled tune-up be filled? Yes
- Customers booked later are lined up for the opening. You approve, and they’re texted one at a time. How cancellation filling works
- Does it leave room for the drive between service calls? Yes
- With “we visit customers” on, suggested times leave room for the drive between service calls. How travel-aware scheduling works
- Can I check the next address from the job? Yes
- Patcher works in your phone’s browser, with a day view made for a small screen.
- Can I switch from a spreadsheet or a paper calendar? Yes
- Free setup and switching help from a spreadsheet or paper calendar. Your subscription is priced separately. How switching works

More than ten people taking appointments?
Let’s talk it through first. Book a call
How much does Patcher cost for HVAC companies?
One price for your team, by how many people take appointments. Service techs and install crew all count as people taking appointments; whoever answers the phone and never runs a call doesn’t.

Questions HVAC companies ask about Patcher
How much is it for two service techs and an install lead?
Patcher starts at $29 a month for 1–2 people, and three people running calls are on the next plan up. The price goes by how many techs take appointments, up to ten, never by features: estimates, online booking, travel-aware times and cancellation filling come with every plan. Whoever only answers the phone doesn’t count. Try it free for 14 days.
How fast can I book a whole season of tune-ups?
Quickly. Work down your customer list, pick the tune-up service and take a suggested time for each one. Suggested times leave room for the drive and each tech’s hours, so a day of tune-ups fits together. You can also share your booking page and let customers pick their own tune-up time.
Where do I keep equipment details and filter sizes?
In the customer notes. Write the furnace and condenser age, tonnage, filter size and anything a tech should know, like where the condenser sits. Notes for one visit, such as a dirty coil or a part to order, go on the appointment, so the next tech sees both.
Can customers request a diagnostic call online?
Yes. Set diagnostic calls to come in as requests, and ask what you need first: up to 12 questions per service, like “Is it heating, cooling or both?” or “How old is the system?”. You review the request and schedule it, and a confirmation text goes out when a customer books online.
If a tune-up cancels, who gets offered the time?
Customers already booked later whose visit fits: the same length or shorter, with a tech who’s free then and a drive that works before and after, so an hour-long opening goes to tune-ups, not installs. You choose who gets asked and in what order. Everyone keeps their current appointment until someone accepts, and the next person you approved is asked if someone says no.
