Spa scheduling for small studios and estheticians.

Patcher is simple scheduling software for small spas and estheticians: a column for each provider, intake questions when clients book online, consults as requests and cancellations filled from clients booked later. It’s $29 a month for 1–2 people.

Cancellation filling

Ana’s 11:00 facial cancelled. Here’s how it got filled.

  1. A customer cancels

Tessa emails last night: a work trip came up, so her 11:00 signature facial with Ana is off. That leaves an hour of Ana’s morning open.

    11:00–12:00 with Ana Open

  2. Patcher finds who fits

Customers booked later who fit the opening, closest fit first.

    • Nora Blake · Signature facial, 60 min

      Booked Friday 2:00 with Ana

      • Same length: 60 minutes
      • Ana is free at 11:00
    • Jill Ames · Signature facial, 60 min

Booked next Monday 10:00 with Ana

      • Same length: 60 minutes
      • Ana is free at 11:00
  3. You approve who gets asked

You see who’s on the list and choose who gets asked: Nora first, then Jill. Nothing is sent before you approve.

  4. Nora Blake accepts

Nora gets one text, sees Friday 2:00 next to today at 11:00 and taps Accept. Jill is never texted.

  5. The schedule updates

Nora’s signature facial moves to 11:00 with Ana, and Friday 2:00 opens up for another client.

You stay in control

  • Nothing goes out until you approve.
  • Offers go out one at a time. Unanswered ones close on their own.
  • The customer chooses: the earlier time or theirs.
  • Outreach stops once someone accepts.
  • Pause it anytime with one switch.
  • Customers can reply STOP to opt out.

How it works

How does Patcher work for spas and estheticians?

Here’s how a small studio runs facials, lashes, waxing and massage from one schedule in Patcher.

  1. 01

Ask the right questions at booking

Give each service up to 12 intake questions on your booking page: skin concerns and retinol use for facials, allergies and contacts for lashes, pregnancy for massage. The answers arrive with the booking, before the client does.

  2. 02

Send consult treatments to you first

Set peels, microneedling or anything that needs a consult to come in as a request. You read the intake answers, call or text the client, and schedule it yourself.

  3. 03

Book the fill before she leaves

Lash fills come due every two or three weeks. Book the next one on the way out, with the same artist, at a time that fits her day.

Questions spas and estheticians ask about Patcher

How much is it for a solo esthetician?

Patcher is $29 a month for 1–2 people taking appointments, so a solo esthetician or a studio with a lash artist starts on the smallest plan. You get the booking page, intake questions, client notes and cancellation filling on every plan, and it’s free to try for 14 days.

Can I ask intake questions when clients book online?

Yes. Each service on your booking page can ask up to 12 questions, as short text, a number, a choice or yes/no. Ask about skin concerns and retinol before a facial, contact lenses and allergies before lashes, or pregnancy before a massage, and the answers come in with the booking.

Where do I keep skin and treatment notes?

In the client’s notes. Keep the ongoing details there, like skin type, sensitivities, allergies and products she uses at home. Write what you did on each appointment, such as the peel strength or the lash curl and length, so the next visit picks up where the last one ended.

Does it work for a massage therapist and an esthetician sharing a studio?

Yes. Each provider gets their own column and working hours, and each service carries its own length and buffer, so a 90-minute massage and a 30-minute brow wax sit side by side without colliding. You see every provider’s day at once, at the front desk or on your phone.

If a facial cancels, who gets offered the time?

Clients already booked later for a treatment that fits it: the same length or shorter, with a provider who’s free then. You choose who gets asked and in what order, and nothing is sent before you approve. Everyone keeps her current appointment until someone accepts, and a client who says no keeps hers while the next person you approved is asked.
