Hair salon scheduling with a column for every stylist.

Patcher is simple scheduling software for small hair salons: a column for each stylist, services booked at their real length, formulas kept on the client and cancellations filled from clients booked later. It’s $29 a month for 1–2 people.

An example day

A Thursday at a two-stylist salon.

Color, cuts and blowouts run very different lengths, so the day is uneven by design. Then Nicole’s 11:00 cut and blow-dry cancels.

Cancellation filling

Nicole’s 11:00 cancelled. Here’s how it got filled.

  1. A customer cancels

Sophie texts at 8: she’s sick, so her 11:00 cut and blow-dry with Nicole is off. That leaves the hour before lunch open.

    11:00–12:00 with Nicole Open

  2. Patcher finds who fits

Customers booked later who fit the opening, closest fit first.

    • Megan Doyle · Cut & blow-dry, 60 min

      Booked Saturday 3:00 with Nicole

      • Same length: 60 minutes
      • Nicole is free at 11:00
    • Ruth Tan · Women’s cut, 45 min

Booked next Tuesday 10:00 with Nicole

      • Shorter: 45 of the 60 minutes
      • Nicole is free at 11:00
  3. You approve who gets asked

You see who’s on the list and choose who gets asked: Megan first, then Ruth. Nothing is sent before you approve.

  4. Megan Doyle accepts

Megan gets one text, sees Saturday 3:00 next to today at 11:00 and taps Accept. Ruth is never texted.

  5. The schedule updates

Megan’s cut and blow-dry moves to 11:00 with Nicole, and Saturday 3:00 opens up for another client.

You stay in control

  • Nothing goes out until you approve.
  • Offers go out one at a time. Unanswered ones close on their own.
  • The customer chooses: the earlier time or theirs.
  • Outreach stops once someone accepts.
  • Pause it anytime with one switch.
  • Customers can reply STOP to opt out.

How it works

How does Patcher work for hair salons?

From setting up your service menu to the next appointment at the chair, here’s how a small salon runs its book in Patcher.

  1. 01

Set up your menu at its real lengths

Add cuts, color, highlights, balayage and blowouts with their price, length and any buffer for cleanup. A balayage blocks two hours and a bang trim blocks fifteen minutes, so the day adds up the way it does at the chair.

  2. 02

Keep every formula on the client

Write the color formula, developer, processing time and preferences in the client’s notes, and what changed on each appointment. When she’s back in eight weeks, it’s all there before she sits down.

  3. 03

Book the next visit before she leaves

While she’s at the front, pick the service and the stylist, and Patcher shows times that fit in six or eight weeks. Every time is checked against that stylist’s day before it saves.

Pricing

How much does Patcher cost for hair salons?

One price for your team, by how many people take appointments. Count the stylists who take appointments: a two-chair salon starts on the smallest plan, and a front desk person who only books doesn’t count.

Questions hair salons ask about Patcher

How much is it for a salon with two stylists?

Patcher is $29 a month for 1–2 people taking appointments, so a salon with two stylists is on the smallest plan. Bigger salons pay by how many stylists take appointments, never per booking, and every plan includes every feature. It’s free to try for 14 days.

Where do I keep color formulas and client notes?

In the client’s notes. Keep her formula, developer, processing time and preferences there, and write what you did on each appointment. When she rebooks, the last formula and anything you changed are on the appointment before she’s in the chair, so any stylist covering can pick it up.

Can I fit a quick cut in while a client’s color processes?

Yes, when you choose to. Patcher doesn’t track processing time on its own: it checks each stylist’s day, flags the overlap and asks before it saves. If you mean to work the cut in, book it anyway. Keep the toner time in the color client’s notes so nothing gets missed.

If a client cancels, who gets offered her time?

Clients already booked later whose service fits the opening: the same length or shorter, with a stylist who’s free then, so a two-hour color never lands in a one-hour gap. You choose who gets asked and in what order. Everyone keeps their current appointment until someone accepts, and a client who says no keeps hers while the next person you approved is asked.

Can I move my salon over from a paper appointment book?

Yes, and the setup and switching help is free. Tell us what you keep today, whether that’s a paper book, a spreadsheet of clients or another salon system, and we agree what comes over and handle the transfer. Your subscription is priced separately.
