Nail salon scheduling that knows a set from a fill.

Patcher is simple scheduling software for small nail salons: a column for each tech, sets, fills and pedicures booked at their own length with cleanup built in, and cancellations filled from clients booked later. It’s $29 a month for 1–2 people.

An example day

A Friday at a three-tech nail salon.

Each tech has a column, and sets, fills and pedicures run their own lengths with a 15-minute cleanup after each. Then Linh’s 11:45 fill cancels.

Cancellation filling

Linh’s 11:45 cancelled. Here’s how it got filled.

  1. A customer cancels

Kayla calls at 9 to cancel her 11:45 acrylic fill with Linh. That leaves 45 minutes plus the 15-minute cleanup: room for a fill, not a 90-minute full set.

    11:45–12:45 with Linh Open

  2. Patcher finds who fits

Customers booked later who fit the opening, closest fit first.

    • Erin Cho · Acrylic fill, 45 min + cleanup

Booked next Thursday 3:00 with Linh

      • Same length: 45 min + 15 cleanup
      • Linh is free at 11:45
    • Beth Sato · Gel manicure, 45 min + cleanup

      Booked Saturday 10:00 with Linh

      • Same length: 45 min + 15 cleanup
      • Linh is free at 11:45
  3. You approve who gets asked

You see who’s on the list and choose who gets asked: Erin first, since her fill is coming due, then Beth. Nothing is sent before you approve.

  4. Erin Cho accepts

Erin gets one text, sees next Thursday 3:00 next to today at 11:45 and taps Accept. Beth is never texted.

  5. The schedule updates

Erin’s fill moves to 11:45 with Linh, cleanup still ends before lunch, and next Thursday 3:00 opens up for another client.

You stay in control

  • Nothing goes out until you approve.
  • Offers go out one at a time. Unanswered ones close on their own.
  • The customer chooses: the earlier time or theirs.
  • Outreach stops once someone accepts.
  • Pause it anytime with one switch.
  • Customers can reply STOP to opt out.

How it works

How does Patcher work for nail salons?

Here’s how a nail salon keeps several techs, every set and every fill on one schedule in Patcher.

  1. 01

Price your menu with cleanup built in

Add manicures, pedicures, gel, dip, acrylic sets, fills and nail art with their price and length, plus a buffer after each for cleaning the station. Suggested times leave that buffer free, so the next client never waits on a dirty bowl.

  2. 02

Keep shapes and colors on the client

Put favorite shapes, lengths and colors, plus anything to avoid, in the client’s notes. Whichever tech has her, the note is on the appointment.

  3. 03

Book the fill before the set dries

Fills come due every two or three weeks. While she’s choosing a color, book the fill with her tech at a time that fits, so it’s on the books before she walks out.

How much does Patcher cost for nail salons?

Questions nail salons ask about Patcher

How much is it for a salon with three or four techs?

Patcher is $29 a month for 1–2 people taking appointments, and a salon with three to six techs is on the middle plan. The price is for the whole team, not each booking, and every plan has every feature. It’s free to try for 14 days with nothing to install on the salon’s tablet or your phone.

Does the cleanup time between clients get blocked?

Yes. Give each service a buffer after it, like 15 minutes to clean the station, and suggested times leave that buffer free. A 45-minute fill takes an hour of the tech’s day and a 90-minute full set takes an hour and 45 minutes, so the next client sits down at a clean station on time.

Can clients book online and answer a few questions first?

Yes. Each service on your booking page can ask up to 12 questions, like “Do you need a soak-off?” or “Which shape would you like?”. Simple services book instantly, and bridal or custom art sets can come in as requests, so you can talk through the design before you schedule it.

If a client cancels her fill, who gets offered the time?

Clients already booked later whose service fits it, cleanup included: the same length or shorter, with a tech who’s free then. You choose who gets asked and in what order. Everyone keeps her current appointment until someone accepts, and a client who says no keeps hers while the next person you approved is asked.

Can I move my nail salon off a paper appointment book?

Yes, and the setup and switching help is free. We help you set up your techs, menu and hours and agree which clients and upcoming appointments come over from the book or your old system, then handle the transfer. Your subscription is priced separately.
